Discover the various available options for Meetings 1to1 and choose the most suitable one for your event

STANDS or Attendee Meetings in Exhibitors

IMPORTANT❗As the event organizer, you can enable Exhibitor Meetings if you have Premium Exhibitors contracted for your event.

Both the event administrator and a stand administrator can designate stand members as meeting hosts. + info 👉 How to give access to premium exhibitor administrators to configure their stand?

You can view the tables of exhibitor meetings in the Meetings > Meetings at exhibitors section.

MATCHMAKING or Attendee-to-Attendee Meetings

  • MEETINGS 1TO1 - Open Meetings👥:This format primarily focuses on facilitating networking among attendees, providing the opportunity to request meetings with any other participant. This promotes valuable and collaborative connections. It is an open networking format, meaning all participants have the ability to request and accept meetings with any other attendee.

NOTE🗒️: Create MEETINGS 1TO1 FOR EVERYONE when you want to generate a variety of interactions among your attendees without restrictions on profiles or roles.

  • MEETINGS 1TO1 WITH ROLES: When you want to create meetings between specific roles or types of profiles, choose this mode of Meetings 1to1.

NOTE🗒️: MEETINGS 1TO1 WITH ROLES are typically chosen for events where there are groups of complementary profiles, such as buyers and suppliers, sellers and importers, companies with job offers and potential employees.

These roles can be attendee <> exhibitor and conduct meetings with exhibitors using the Meetings 1to1 module.

  • MEETINGS 1TO1 WITH SUGGESTIONS 💍: Create meeting rules so our Software to suggest attendees to meet with certain roles or groups of attendees.

  • MEETINGS 1TO1 WITH PREFERENCES 👑: Here, attendees indicate with whom they would like to meet, and you, as the organizer, take care of coordinating schedule times and proposing quality meetings to the attendees. This option is particularly suitable for events with multiple profiles.

Common instructions for the 5 types of meetings

Configurations are done through the Meetings Panel. In the Meeting Summary section, you'll find the list of sessions you've created, and you also have the option to create a new session by clicking the "Create Session" button.

In the Matchmaking section, you can review the tables of meetings (or meeting preferences, in the case of 1to1 Meetings with Preferences), except for exhibitor meetings, which have their own section called Exhibitor Meetings just below. From here, you can also create a new session by clicking the "Create Session" button.

In the Meetings at exhibitors section, you can view the table of exhibitor meetings and choose the reference of the hosts (stand administrators) you need.

You can track the live status of meetings by accessing the meeting tables in the Matchmaking or Exhibitor Meetings sections by clicking on the ℹ️ Information icon. On one hand, you'll see if a meeting is Requested or already Confirmed. On the other hand, for meetings configured with video calls, you can know the real-time status of that meeting: "Waiting," "In progress," "Completed," or "Not completed," as applicable.

NOTE🗒️: There are three automated emails linked to the meetings 1to1 module to be sent and activated:

  • When requesting a meeting
  • When modifying a meeting
  • When rejecting a meeting

Meeting Limitations and Preferences Section

1. Limiting Maximum Meetings by Role

Select a single-select property to limit the number of meetings each person (or role) can have confirmed.

Manage properties from the Properties section, creating a numeric property with the maximum number of meetings.

Example: We create the Number of Meetings property, single-select 1, 3, and 5.

In the Attendee List, assign this property to the different attendee roles.

Journalist Role > 3. This means this role can have a maximum of 3 meetings.

Scientists Role > 5. This means this role can have a maximum of 5 meetings.

2. Maximum number of preferences per attendee

Add a number, this will be the total limit of meeting preferences you can select for the entire event.

That is, if you set "3" as the maximum number of preferences per attendee, each attendee will only be able to mark 3 preferences to meet (with 3 attendees). Once 3 attendees are marked, the others will not be available.

NOTE 🗒️: This only applies to 1to1 Meetings with preferences

Availability to Request Meetings

3. Host Availability by Requester Type

For each requester type, define which hosts will be able to view and request meetings. By default, any session requester can request meetings from any host.

Example: We want:

    • Journalists to only be able to request meetings from Scientists.
    • Scientists can request meetings from scientists, journalists, and researchers.
    • Researchers can only request meetings from other researchers.

IMPORTANT ❗When customizing availability, requesters not included in these rules will not have hosts to request meetings from. Make sure to add rules that include all the requester types you need.

Meeting Ratings

4. Toggle "Allow rating a meeting in the event and in the app"


Attendees who attended the meeting receive a notification after the meeting with a rating (1-5 stars).
Additionally, this rating is the only way to know whether the meeting actually took place or not.

Once this information has been completed, event organizers can download these ratings.

EXPORTS 🔢 : By clicking on the 3 dots > Export you will be able to export:

  • The meeting table
  • Session feedbacks
  • Individual agendas
  • The total of visits.
