HOW AN ATTENDEE REQUEST A MEETING?

1. The attendee accesses Meetings 1 to 1 and chooses the meeting they are interested in.

2. The attendee selects the person they want to schedule the meeting with and clicks on 'Request meeting', choosing the desired time.

4. The meeting has already been requested; it only needs to be confirmed by the other attendee. 

HOW ATTENDDES ACCEPT A MEETING?

1. When someone requests a meeting, the attendee receives a notification in the "Meetings 1 to 1" section.

2. The attendee clicks on the meeting where the notification appears and enters "My Requests."

3. The attendee sees the option to Accept or Decline. Once the meeting is accepted, it will appear in the "My Meetings Agenda" section. If they click Decline, they can then choose to reschedule or cancel the meeting.

Meeting by videocall 📽️

How to access the meeting

  • When a meeting is requested with an attendee and they accept it, the "Enter the room" option will appear in the My Meeting Schedule section. There, they will be able to access the room where the video call will take place.

  • Once in the room, both attendees must wait until the agreed time for the video call to start.

Before the session starts, recommendations for optimal video call experience are displayed on the screen.

  • Once the agreed time arrives, a pink button 📍 to "Enter the meeting" will appear on the screen. By clicking on it, the attendee will need to activate the microphone and camera, and then click the "Join" button to access the room where they will meet the person scheduled for the meeting.

During the meeting

  • Once inside the meeting, the attendee will see the person with whom they are meeting on the screen, they will be able to consult their profile, send them a written message and take notes on the meeting. Also, on the left side there is a progress bar with the minutes consumed. ⏱️
  • When 25% of the meeting time remains, an orange alert message 🔶 appears on the screen indicating that time is about to run out, so the participants can start wrapping up the final details of their meeting.
  • When time runs out, a pop-up automatically appears asking if the meeting has taken place and to rate it with a star system, as well as being able to leave a comment. 💬

NOTE 🗒️: 1to1 Meetings generate notifications. When an attendee wants to schedule a meeting with another, the latter receives a notification and can see who requested the meeting and decide whether to accept or decline the request.
