The Meetmaps Scanner App allows booth members (exhibitors) to scan leads, track visitors, and obtain detailed information about their booths.
Available for these licenses:
AccessEnterprise
Suite Enterprise
This App allows exhibitors to scan QR codes of visitors to their booths and obtain their contact information instantly or later. Data is transferred automatically without the need for physical cards, allowing for organized and efficient management.
It works exactly like the Lead Scanner module (but with the Scanner App, you don't need the event App -Eventsbox or Branded-). + info 👉 What is the Lead Scanner module?
The difference is that when configured from the Dashboard, it is intended for booth staff (exhibitors) and its scanning is for visitors.
Settings - Event Administrator View
1. In Registration > Check-in > Settings, create a reader for each exhibitor by clicking "Create Reader +".
2. Contact the Meetmaps to request that they activate "exhibitor permissions". Our team will then activate these permissions, which allows the readers to be used as exhibitor scanners.
IMPORTANT ❗This step is critical to activate the functionality.
3. Ask each exhibitor for an email address, which will be linked to each reader. Leads will be sent to this email address once they have been scanned. Link each email to a reader by clicking the 🔗 icon.
4. It is possible to change the password if desired.
5. Notify each exhibitor of their reader's email address along with the password they will use to access the Scanner by Meetmaps App.
NOTE 🗒️: The login credentials are the reader's email address, which begins with "L" and "C." You must log in with that email address, not the linked email address.
6. Define what data will be shared in the Properties > Profile section (next to email and notes).
How it works from the stand member's perspective (Meetmaps App scanner reader)
1. When the exhibitor member receives their access credentials, they can go to the Scanner by Meetmaps App and log in to the App
2. Once inside, you'll see a list of your scanned leads. From here, the exhibitor can open the scanner to begin scanning QR codes or log out/change events ⚙️.
NOTE 🗒️: it's important to obtain each attendee's consent and reiterate that by scanning their QR codes, they agree to share their personal information with the exhibitor.
To complete the scan, they must accept the privacy policy. As the organizer, you must regulate attendee consent and data processing obligations as the person scanning the code and receiving the data.
4. The scanned assistant is registered in the lead list.
5. You can add notes to each attendee by clicking on the 🗒️+ icon.
6. Once the entire scan is complete, you can export the data by clicking the export button in the top right corner. These leads will be sent to the email address you previously linked.
7. An email arrives in the inbox from where the stand member can open the Excel spreadsheet with the leads.
