How to access a virtual room as a moderator?

BlueJeans has the option of having a moderator on the video call to manage it

Bluejeans offers the possibility of having moderators in the videoconference room. 

The advantages of having a moderator 🙋 are:

  • Recording the session
  • Share screen for attendees to see
  • Manage cameras, microphones and moderate turns of participation of attendees
  • End the session for all attendees or just for you.

How to access as moderator?

Since you will also be registered as an attendee, log in with your username and personal code to the event and go to the Agenda tab. Once there, click on the "Room" button of the session you will be moderating.

Once inside the room, you will find a screen where you must enter your name and click on the "Next" button.

Next, your camera 🎥 and microphone 🎤 will be enabled, and you will need to click on the "Join meeting" button.

On the next screen, you will find the link "Start meeting as moderator" to access in case you are a moderator; click on it.

When you do so, the following pop-up will open. In the "Enter access code" tab, you must enter the password provided by the event organizer.

NOTE 📃: once you log in as a moderator you will get the following pop-up asking you if you really want to log out. Click on the "Log out" button, to log out of your profile as an attendee and be able to log in as a moderator. Don't worry 💪, you're doing great!

When you enter the code, you will leave the room with your attendee profile and enter again, this time as a moderator, with all the necessary permissions to manage the additional functionalities mentioned in the advantages. 

How are the moderator functionalities 🙋 displayed in the room?

  • Record the session 🎥: at the top left you will find the "Start recording" button. When you click it, both the session attendees and you will hear a voice warning: "Recording has started 🗣️".
    Once the video conference ends, you must click again to stop the recording. The Meetmaps account manager will send the recording in MP4 format to the organization.
  • Screen sharing 🖥️: click on the "screen" button (between the microphone and the phone) and select the screen on your computer that you want to share.

NOTE 📃: keep in mind that when you share your screen you no longer see the attendees. Therefore, in case you are recording the video call, only your screen will be recorded, without the attendees.

  • Manage cameras, microphones and moderate attendees' participation turns: if you click on the "People 👥" button you will find the list of attendees currently participating in the room. From here you will be able to mute microphones, and close cameras, as well as visualize which attendee has raised the ✋ asking to speak (and here you should enable only their microphone 😜).
  • End the session for all attendees after a few minutes, or just for you: once the session is over, as moderator you will end the video conference by clicking the 📞 button. You have the option to disconnect the meeting for everyone and determine the time to do so.

TIP 📢: BlueJeans has its own chat system built into the session. The organizer will let you know whether to use this chat or if they will enable Meetmaps Session Chat, along with other attendee interaction features, such as Speaker Questions or Voting.
